Reusing yesterday’s PDF is faster than designing today’s from scratch. Template smart and your admin shrinks from hours to minutes.
Start with three templates
- Proposal โ hero image, scope, deliverables, timeline, pricing.
- Invoice โ logo, invoice number, line items, totals, bank details.
- Report โ cover page, executive summary, body, appendix.
Design once, substitute many times
Design in Word, Pages, Figma or InDesign. Save the editable source. Then set up a tiny automation to substitute client-specific placeholders and export to PDF.
Zero-code automation
Zapier (Formatter + Google Docs + PDFAPPLE) and Make.com (Scenario โ Google Docs โ PDFAPPLE) are easiest. You push data in; a filled PDF pops out.
If you can code
Python with docxtpl + PDFAPPLE API is my recommendation. The whole pipeline fits in 20 lines.
Common mistakes
- Hard-coding addresses โ put them in variables.
- Images in headers โ if they jump pages, embed them in the body instead.
- Not versioning templates โ keep a /templates folder with semantic versions.
- Forgetting the file name โ use
Client โ Project โ v1.pdf.
Where to go from here
Once you have templates, batch them. A single scenario can generate 50 invoices on the first of the month and email each client a personalised PDF. See our batch article for architecture.
